When UPS, FedEx or USPS doesn’t stop at your dock every day, you book a pickup when packages are waiting. Parcello books it from the Pickups card on the Orders page. One pickup covers every labeled package waiting at a location for that carrier, whatever order it belongs to.
UPS and FedEx pickups are booked on your UPS or FedEx account. USPS pickups are for the USPS labels you buy through Shippo, and Parcello books them through your Shippo account. They’re free, and a few things work differently: see Book a USPS pickup through Shippo.
Before you start
- Connect UPS, FedEx or Shippo on the Carriers page.
- Buy the labels first. Only packages with a label show on the card.
- Check the location’s contact email on the Locations page. Carriers get it as your sender email on labels, BOLs and pickups. Without one, they get your store email.
The Pickups card
The card sits at the top of the Orders page and starts folded. The summary line tells you where things stand without opening it, for example “1 pickup scheduled · 6 packages waiting” or “No pickups scheduled”. Click the card to open it.
Inside, there is one row per carrier and location that has packages waiting or a pickup booked, for example “Main warehouse” with a UPS badge. FedEx has two rows per location, FedEx Express and FedEx Ground, because FedEx books them separately: Ground and Home Delivery labels go on FedEx Ground, everything else on FedEx Express. USPS labels bought through Shippo get a row with a USPS badge.
A row lists what is waiting, for example “4 packages waiting · 38 lb · #1001, #1002, #1004 and 1 more”. When nothing is waiting anywhere, the card says “Nothing is waiting for a pickup. Labeled packages show up here, ready to book a stop.”
Which packages count as waiting
A package is waiting when:
- its label is bought and not voided,
- it isn’t on a pickup yet,
- the carrier hasn’t scanned it,
- its shipment ships today or later.
Return labels never count. Labels bought through Shippo show on the card only when they are USPS labels: UPS, FedEx and DHL Express labels bought through Shippo don’t get a row.
Book a UPS or FedEx pickup
- Open the Pickups card and find the row for the carrier and location.
- Set the Pickup date. It starts on your next shipping day, or on the ship date of the labels when they ship later. You can book from today up to 14 days ahead.
- Set Ready by (when the packages are ready) and Close by (when your dock closes). They start at 12:00 PM and 5:00 PM.
- Click Get quote (UPS) or Check availability (FedEx).
- Read the answer under the form, then click Book pickup.
After booking, the row shows a Scheduled badge with the date and window, and a line such as “Confirmation 2929602E9CP · Covers 3 shipments · 4 packages · 38 lb · Fee $9.75”. The order page of each shipment on the pickup shows “Pickup booked for 2026-10-06 · Confirmation 2929602E9CP. Manage it under Pickups on the Orders page.”
What UPS answers
UPS quotes the pickup fee before you book, for example “Pickup fee $9.75 (future-day rate), billed to your UPS account.” A pickup for today gets the same-day rate. If UPS doesn’t return a fee, you see “UPS did not return a fee for this pickup.”
What FedEx answers
FedEx says whether a courier can come that day and what it needs, for example “A courier can come that day. Packages ready by 4:00 PM at the latest · 1 hr needed between ready and close.” and “FedEx bills pickup fees to your account.”
If your window doesn’t fit, FedEx’s limits show in red, for example “FedEx needs packages ready by 4:00 PM for this day.” Change the times and check again. If FedEx can’t come at all, you see “FedEx can’t pick up here on Tue, Oct 6. Try another day.” and Book pickup stays off.
Changing the date or the times hides the answer until you ask again.
Book a USPS pickup through Shippo
USPS pickups are booked through your Shippo account, for the USPS labels you bought there. There is no quote step. Under the form, the card says “USPS pickups through Shippo are free. Shippo can’t cancel them: once booked, a pickup is changed or cancelled with USPS.”
- Open the Pickups card and find the USPS row for the location.
- Set the Pickup date. It starts on your next shipping day, or on the ship date of the labels when they ship later. You can book from today up to 14 days ahead.
- Set Ready by and Close by. They start at 12:00 PM and 5:00 PM, in your store’s time zone (see Pickup times and your store’s time zone).
- In Packages will be at, pick where the carrier finds the packages: Front door (the default), Back door, Side door, Knock on door, Ring bell, Mail room, Office, Reception, In or at the mailbox or Other (add instructions).
- Add Instructions for the carrier if needed, up to 50 characters. They’re required for Other (add instructions): Book pickup stays off until you add them.
- Click Book pickup.
What Shippo answers
After booking, the row shows a Scheduled badge with the date and window, and a line with the USPS confirmation number and what the pickup covers, for example “Covers 2 shipments · 3 packages · 12 lb”. There is no fee. The order page of each shipment on the pickup shows the booking, as for UPS and FedEx.
If Shippo took the request but USPS hadn’t confirmed it yet, the badge reads Waiting on USPS, and the line starts with “Shippo reference” and Shippo’s ID for the request instead of a USPS confirmation number. The order page of each shipment on it says “Waiting on USPS for the confirmation number.”
Shippo has no way for Parcello to check a pickup again, and USPS may email the confirmation number instead. The stop names the email Parcello gave with the booking: the location’s contact email, or your store email when the location has none. When the number arrives:
- Type it in USPS confirmation number on the stop.
- Click Save.
The badge then reads Scheduled, and the number shows on the stop and on the order page of each shipment on the pickup. To fix a number you typed, click Change, type it again and click Save. A number Shippo returned when you booked can’t be changed.
Which labels a USPS pickup covers
Parcello sends every USPS label waiting at the location that ships by the pickup date, Ground Advantage included. Labels can be left out in two cases:
- If Shippo refuses the request and only some of the labels are Priority Mail, Priority Mail Express or international, Parcello tries once more with those labels alone. When that goes through, the other labels are left out.
- A pickup is booked on one USPS account in Shippo. If the waiting labels were bought on different USPS accounts, Parcello books the labels of the account that has the most, and leaves the others out.
Labels left out of a booking are listed by order, with the reason, in a yellow banner at the top of the card, for example “Not in this pickup: #1004 (bought on a different USPS account).” They stay on the row as waiting.
One USPS pickup per location and day
USPS takes one pickup request per address per day, as a note at the bottom of the card reminds you. Parcello books one USPS pickup per location and date. Book it after you have bought the day’s USPS labels: labels bought later aren’t on it and show as waiting, and Parcello won’t book a second USPS pickup at that location for the same day.
Pickup times and your store’s time zone
Shippo takes the pickup window in UTC, so Parcello converts Ready by and Close by from your store’s time zone, the one set in Shopify. For a location in another time zone, enter its times as they read in your store’s time zone. For example, if your store is on New York time and a dock in Chicago is ready at 12:00 PM Chicago time, enter 1:00 PM. UPS and FedEx pickups don’t need this: those carriers read the times as local to the dock.
Cancel a pickup
UPS and FedEx
Click Cancel pickup on the scheduled stop. Parcello cancels it with the carrier and the packages go back to waiting, so you can book them again for another day.
USPS
Shippo can’t cancel pickups, so Parcello can’t cancel a USPS pickup for you. A scheduled USPS stop says “Shippo can’t cancel pickups. To cancel, use USPS Package Pickup with the confirmation number and your phone number, then mark it cancelled here.”
- Cancel the pickup with USPS. The USPS Package Pickup link on the stop opens USPS’s page for changing or cancelling a pickup. You need the USPS confirmation number and the location’s phone number, which Parcello sends with the booking. While the stop is waiting on USPS, the number is in USPS’s email, not on the row.
- Click Mark as cancelled on the stop.
Mark as cancelled only updates Parcello: the labels go back to waiting and the stop leaves the card. USPS isn’t told, so cancel with USPS first, or the carrier still comes. If you change a USPS pickup with USPS instead, the card keeps showing the date and window you booked.
You can always cancel a pickup booked earlier, or mark it cancelled, even after a plan change.
Daily pickups
If UPS, FedEx or USPS already stops at a location every day, tell Parcello so it doesn’t offer to book pickups there:
- On the Pickups card, tick “UPS stops here every day” (or the FedEx Express, FedEx Ground or USPS equivalent) on the row. The row then shows “UPS stops here every day.” with a Book pickups here instead link to undo it.
- Or on the Locations page, in the Daily pickups card, tick “UPS picks up here every day” for each location. There is one checkbox per connected carrier: FedEx Express and FedEx Ground separately, and USPS when Shippo is connected. This works even when nothing is waiting.
Both places set the same switch. Packages at a daily-pickup location don’t count in the card’s “waiting” total.
Notes and limits
- One pickup per carrier, location and day covers every labeled package waiting there. Book it after you have bought the day’s labels: packages labeled after the booking aren’t on it, and the row shows them as waiting.
- Voiding a label takes its shipment off the pickup, but the pickup stays booked with the carrier. If nothing else is waiting, cancel the pickup on the card. For USPS, cancel it with USPS, then click Mark as cancelled.
- Dropship locations don’t get pickup rows.
- UPS and FedEx pickup fees are set and billed by the carrier on your account. Parcello shows what the carrier quotes. USPS pickups through Shippo are free.
- Shippo asks for no special characters, such as / or &, in a pickup’s address. Parcello sends the address and the instructions with only letters, numbers, spaces, periods, commas, apostrophes and hyphens: any other character becomes a space.
- Estes and FedEx Freight pickups are booked differently. See Bills of lading and Estes pickups and FedEx Freight bills of lading and pickups.
- Below the Operations plan, the card tells you how many labeled packages are waiting and links to your plans.
Troubleshooting
| Message | Cause | Fix |
|---|---|---|
| “No UPS packages ship from this location by that date.” or “No USPS labels ship from this location by that date.” | Nothing waiting for that carrier ships on or before the date (a later ship date, a void, or a carrier scan since the page loaded) | Pick a later date, or refresh the page |
| “UPS already stops here every day. Turn off the daily pickup to book one.” | The location is marked for daily pickups | Click Book pickups here instead on the row, or untick it on Locations |
| “Pickup date can’t be in the past.” / “Pickup date can’t be more than 14 days out.” | The date is outside the booking window | Pick a date from today to 14 days ahead |
| “Pick a ready time before the close time.” | Ready by is after Close by | Fix the times |
“USPS takes one pickup request per address per day, and this location already has one for that day (confirmation <number>).” | A USPS pickup is already booked at this location for that date | Use that pickup, or book the other labels for another day |
“Shippo refused the pickup: <reason>” | Shippo turned the request down. The reason is Shippo’s own | Fix what the reason names, or try another date |
“Shippo didn’t confirm the pickup (<reason>). It may have been booked: check your Shippo account before booking again.” | Shippo didn’t answer in time, answered with a server error, or its answer couldn’t be read. Parcello doesn’t try again on its own | Check your Shippo account for the pickup before you click Book pickup again, so you don’t book twice |
| “Shippo couldn’t find the purchased labels for this pickup.” | Shippo returned no purchased label for any of the waiting USPS labels | Try again in a moment. If it keeps happening, check the labels in your Shippo account |
| “That pickup is already cancelled.” | It was cancelled, or marked cancelled, in another tab | Refresh the page |
| “A USPS confirmation number has only letters and numbers, like WTC310058750.” | The number typed on a stop waiting on USPS has other characters, or fewer than 4 or more than 30 | Copy the number from USPS’s email again. Spaces are dropped for you |
When the carrier refuses a booking or a cancellation, its own message shows in red at the top of the card.
