An order preset is a named set of shipping settings: a carrier and service, Shippo insurance, carrier emails, packing slip changes. Parcello applies it automatically when a new order matches its conditions, or you apply it by hand to the orders in a batch.
What a preset can change
A preset changes only the order’s shipments that don’t have a label yet. Labeled shipments and return labels are never touched.
| Setting | Choices | What it does |
|---|---|---|
| Carrier | Leave as it is, or a connected UPS, FedEx or Shippo account | Switches the shipments to that carrier. Freight shipments (Estes and FedEx Freight) keep their carrier. |
| Service | The carrier’s default, or a service | The service to ship with. |
| Shippo shipping insurance | Leave as it is, Add insurance, No insurance | Only on shipments that ship with Shippo. |
| Turn off the carrier’s shipping emails to the customer | On or off | Stops the carrier’s shipment emails to the customer on those shipments. |
| Leave the billing address off the packing slip | On or off | The packing slip prints without Bill To. |
| Set the packing slip message | On, with a Message | Replaces the slip’s message. Leave the message empty for none. Up to 500 characters. |
When a preset switches the carrier, the shipment’s address check and quotes start over, as they do when you change the carrier on the order page.
Example: a “Gift order” preset with Leave the billing address off the packing slip, Set the packing slip message (“Enjoy your gift!”) and Turn off the carrier’s shipping emails to the customer, applied when Order tag is any of “gift”.
Create a preset
- Go to Automation and click Add preset in Order presets.
- Enter a Name (up to 80 characters). Keep On ticked.
- To apply it on its own, tick Apply automatically when an order comes in and matches and add conditions (below).
- Choose the settings.
- Click Save. The preset appears in the list with an Automatic or By hand badge and a one-line summary of what it does.
Use Up and Down to order the list, Edit to change a preset and Delete to remove it. Unticking On keeps the preset but stops it: it shows an Off badge, never applies automatically and isn’t offered in batches.
Conditions
An automatic preset needs at least one condition. Pick All conditions or Any condition under Match, then add rows with Add condition.
| Condition | Operators |
|---|---|
| Destination country | is any of, is none of |
| Destination state or province | is any of, is none of |
| Destination ZIP / postal code | starts with any of, is any of, is none of |
| Order subtotal | is at least, is at most |
| Total weight (lb) | is at least, is at most |
| Number of items | is at least, is at most |
| Any item has product tag | is any of, is none of |
| Any item is in collection | is any of, is none of |
| Any item has SKU | is any of, is none of |
| Customer tag | is any of, is none of |
| Order tag | is any of, is none of |
| Checkout shipping contains | is any of, is none of |
- Lists are comma separated (“US, CA”). Text ignores upper and lower case.
- Country and state use codes, like “US” and “NY”.
- Order subtotal is the items’ prices times their quantities. Total weight (lb) uses the items’ Shopify weights.
- Items fulfilled by a third party and cancelled items don’t count.
- Checkout shipping contains matches words in the shipping method the customer picked at checkout, like “Overnight”.
- A collection can be entered by its title or its handle.
When you first open Automation, Parcello may need a few minutes to read product tags and collections from Shopify. The page says so while it runs; conditions on tags and collections match those products once it’s done.
When automatic presets run
Automatic presets run when Parcello creates an order’s shipments:
- when a new order arrives from Shopify,
- when Sync Orders or Parcello’s own catch-up imports an order it was missing,
- when you open an older order whose shipments weren’t created at import,
- after Recalculate Packages,
- after you use Ship to multiple recipients on an order.
They don’t run again when the order changes in Shopify. To apply them again, use Recalculate Packages (available while no shipment has a label), or apply a preset from a batch.
When several presets match
Every automatic preset that matches applies, working down the list. When two change the same setting, the higher one wins:
| Setting | Which preset wins |
|---|---|
| Carrier and service | The highest preset that sets a connected carrier |
| Shippo shipping insurance | The highest preset that sets it |
| Packing slip message | The highest preset that sets it |
| Customer emails off | On if any matching preset turns them off |
| Billing address off the slip | On if any matching preset sets it |
Example: “Wholesale” (UPS Ground, emails off) sits above “Heavy” (FedEx Ground, slip message “Thank you”). An order matching both ships UPS Ground with emails off and the “Thank you” message.
If a preset’s carrier isn’t connected, Parcello skips that carrier and uses the next matching preset’s carrier, or leaves the carrier as it was. Its other settings still apply.
Each shipment a preset changed shows “Preset:” with its name (or “Presets:” with several) on the order page.
Apply a preset by hand
- Select orders on the Orders page and click Open in batch.
- Pick a preset in Apply a preset….
- Click Apply to unlabeled shipments.
You see “Gift order applied to 3 shipments.” with a note when a carrier wasn’t connected. A preset applied by hand doesn’t need conditions. Presets are applied from a batch; the order page has no apply control, but you can open a batch with a single order. See Ship many orders in a batch.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| “An automatic preset needs at least one condition.” | Apply automatically… is ticked with no condition. | Add a condition, or untick automatic. |
| “Every condition needs a value.” | A condition row is empty. | Fill it in or click Remove. |
| The list says “Never applies: it has no condition. Edit it and add one.” | An automatic preset has no condition. | Edit it and add one. |
| “UPS isn’t connected, so the carrier was left as it was.” | The preset’s carrier isn’t connected. | Connect it on Carriers, or change the preset. |
| A preset didn’t change an order | The order’s shipments already have labels, the shipment ships freight (Estes or FedEx Freight), or the order arrived before you created the preset. | Apply the preset from a batch. |
