The Shipping Costs page shows, order by order, what the customer paid for shipping, what Parcello’s labels cost, and what the carrier billed. Upload your UPS and FedEx invoices to fill in the billed side. Estes invoices are read automatically. FedEx Freight bills of lading show their label cost, but Parcello doesn’t read FedEx Freight invoices and they can’t be uploaded.

What the report counts

NumberWhere it comes from
Customer paidEvery shipping line on the order, including lines added with Edit Order. Lines you removed with Edit Order don’t count. Free shipping counts as $0.00.
Label costThe price the carrier returned when Parcello bought the label. When that isn’t available, the quote the label was bought on, marked Quoted.
InvoicedInvoice charges matched to the label by tracking number, including each box’s own tracking number. Adjustments on a later invoice add to the same label.

The report lists orders placed in the date range (in your store’s time zone) that have at least one label bought in Parcello. Voided labels never count. Return labels are shown apart, under the outbound label cost: “Return label $9.95 · Bills if used” until an invoice charges for it.

Read the report

At the top, From, To, Carrier and Order narrow the report. Click Apply. The range starts as the last 30 days. Export CSV downloads the report.

Five summary cards total the range:

CardWhat it shows
Customer paidTotal shipping customers paid, with the number of orders.
Label costTotal label cost. “N from quotes” when some costs come from quotes.
InvoicedTotal billed so far. “N not invoiced yet” counts orders still waiting for an invoice.
Paid − labelCustomer paid minus label cost, over the orders where every label has a cost.
Invoice − labelInvoiced minus label cost, over the orders where every label is invoiced.

The table has one row per order, 50 per page:

ColumnWhat it shows
OrderThe order name (opens the order), the customer and the carriers used.
DateThe order date.
Customer paidWhat the customer paid for shipping.
Label costTotal for the order’s outbound labels. Quoted when a cost came from a quote.
InvoicedBilled so far, or Not invoiced yet. “1 of 2 labels” when only some labels are on an invoice.
Paid − labelPositive: the customer paid more than the labels cost. Negative: less.
Invoice − labelPositive: the carrier billed more than the label cost. Shown only once every outbound label of the order is invoiced.

Example: Order #1001 charged the customer $24.00. Its UPS label cost $18.27 and the invoice billed $21.02 after a residential surcharge. The row shows Paid − label +$5.73 and Invoice − label +$2.75.

Differences are only computed when both amounts are in the same currency.

Below the table, By carrier totals labels, label cost, invoiced and Invoice − label per carrier, and By month totals orders, customer paid, label cost, invoiced and Paid − label per month.

On each labeled shipment of an order, the order page shows the same figures in one line, like “Label $12.18 · Invoiced $14.86 · +$2.68”.

Upload a UPS or FedEx invoice

  1. Download the invoice detail as CSV or Excel from UPS Billing Center or FedEx Billing Online.
  2. On Shipping Costs, under Upload a carrier invoice, pick the Carrier.
  3. Drop the file in Invoice file (CSV, TXT, XLS or XLSX, up to 20 MB).
  4. Click Upload.

Parcello reads the usual UPS and FedEx detail layouts on its own, including the UPS file without a header row. It then shows “Read 42 charges from 1 invoice · 38 match your labels · 4 don’t · Total $812.40”.

Uploading the same invoice again replaces its lines, so nothing is counted twice.

Pick the columns

If Parcello doesn’t know a file’s layout, it says “Parcello doesn’t know this file’s layout. Pick the columns with the tracking number and the amount billed. Parcello remembers them for UPS files.” (or FedEx).

  1. Pick the Tracking number column.
  2. Pick the Amount billed column.
  3. Click Upload with these columns.

The next file from that carrier with the same layout is read with your choice.

Estes invoices

Estes invoices are read automatically from your Estes account when you open Shipping Costs. Parcello asks Estes about bills of lading older than three days that have no invoice on file yet: up to ten each time you open the page, and each one at most once a day. A freight order can take a few days, and a few visits, to show as invoiced.

Charges that don’t match a label

Below the report, two lists can appear:

  • Billed for voided labels: labels you voided in Parcello that still appear on an invoice. Ask the carrier for a credit.
  • Not from Parcello labels: invoice charges in the range for labels bought outside Parcello, with the total.
